Position Description

The Automotive Service Coordinator plays a critical role in ensuring the smooth and efficient operation of our service department. This position is responsible for maintaining the accuracy of repair orders (ROs), managing and tracking parts orders, and keeping job board statuses current. The role requires seamless coordination between vendors, customers, and internal team members to ensure timely service delivery. Additionally, the Service Coordinator provides full front desk coverage, delivering an exceptional customer experience, and uses strong organizational and communication skills to maintain workflow efficiency.

Salary: $49,920-$54,080 ($24-$26 per hour)

Schedule

4-Day Work Week - Current Work Schedule  

  • Monday and Tuesday: 7:15 AM – 7:15 PM
  • Wednesday and Thursday: 7:15 AM – 3:15 PM


4-Day Work Week - Future Work Schedule (when Sunday operations begin, date TBD):

  • Monday and Tuesday: 7:15 AM – 7:15 PM
  • Wednesday: 7:15 AM – 4:15 PM
  • Sunday: 7-hour shift (hours TBD)


Shop Hours (Opening soon on Sundays with Hours TBD):

  • Monday–Friday: 7:30 AM – 7:00 PM
  • Saturday: 9:00 AM – 3:00 PM

Duties & Responsibilities

What You’ll Do

As a Service Coordinator, you’ll manage the end-to-end customer experience and ensure efficient, accurate service delivery.


Repair Order Management:

  • Review, verify, and maintain all repair orders for accuracy and completeness, ensuring all required details are documented.
  • Collaborate with technicians and service advisors to ensure repair documentation is up-to-date and meets company standards.


Parts Coordination:

  • Oversee parts orders, ensuring timely and accurate ordering, delivery, and inventory management.
  • Communicate directly with vendors to address parts-related inquiries, delays, discrepancies, and special requests.
  • Keep the service team informed of parts availability, delays, and their impact on repair schedules.


Job Board Oversight:

  • Monitor and manage the job board, ensuring repair statuses are updated in real-time.
  • Coordinate with team members to align schedules and prioritize tasks for efficient workflow and timely repair completion.


Customer Experience Management:

  • Determine maintenance history and any prior inspection findings for each vehicle at check-in.
  • Advise customers on benefits of BG products and staying up-to-date on recommended maintenance intervals.
  • Provide front desk coverage including answering phones, scheduling appointments, and addressing customer inquiries.
  • Check customers in/out and take/record payments (requires cash handling and credit/debit card payment processing).
  • Maintain cleanliness and organization of the reception area, coffee center, and customer bathroom (to include restocking supplies as needed)


Front Office Support:

  • Handle administrative tasks such as filing and data entry.
  • Handle incoming and outgoing mail and packages
  • Other duties as assigned to support the smooth operation of the office


Team Collaboration:

  • Act as a liaison between customers, technicians, vendors, and service advisors to facilitate smooth operations.
  • Identify workflow inefficiencies and proactively recommend process improvements to enhance department performance.

Qualifications

Required Qualifications:

  • Proven experience in customer service, administrative roles, or operations management, ideally within the automotive or service industry. Strong organizational and multitasking abilities, with exceptional attention to detail.
  • Effective verbal and written communication skills, including professional interaction with vendors and customers.
  • Proficiency in using job management software, scheduling tools, or other relevant systems (or a willingness to learn).
  • Ability to work in a fast-paced environment, adapt to shifting priorities, and meet deadlines.
  • Problem-solving mindset with the ability to anticipate challenges and implement solutions.
  • Knowledge of automotive repair processes or technical service environments.
  • Familiarity with parts inventory systems and vendor management.
  • Experience in improving workflow systems and department efficiency.
  • High school diploma or GED
  • Valid driver’s license and clean driving record
  • Authorized to work in the U.S.
  • Strong attention to detail and work ethic
  • Ability to pass a background check
  • 1-2 years of automotive repair or parts experience (professionally or DIY)


Preferred Qualifications:

  • Bilingual communication skills
  • Experience with ALLDATA, ProDemand or similar software
  • Experience with Tekmetric or similar shop management software
